Needs Analysis

B-CAD's first task is to understand the client's needs. This is normally accomplished through face-to-face working sessions between the client and B-CAD Team. Meetings are direct and productive because B-CAD asks the right questions.

At this stage we analyze the client's current usage and handling of the documentation and distribution processes. We compare these current processes with available technologies in an effort to arrive at more efficient solutions.

We ask questions such as:
Will the current management of documents benefit from conversion to electronic
  files storage?
How many different types of documents exist and how are they archived and
  retrieved?
How much time is spent searching and retrieving any specific document?
What type of mark-up and revision process is in place?
How do employees outside of specific workgroups locate these documents?
What is needed to integrate Electronic Document Management (EDM) into the
  clients' existing network system?
How much will the EDM solution really save?

Pilot Phase

After the Needs Analysis, when the project's scope has been discussed, defined, and documented, the next step can be taken. B-CAD understands that even though all efforts are made to reach the best decisions on how to proceed with a defined solution, interpretation and complete understanding is a factor. To assure full understanding, we prepare a pilot project.

A typical pilot includes preparing a complete operating model of the overall project except on a small scale. A sampling of all document types and sizes are scanned and indexed. The operating model is presented to the client using the actual proposed EDM software. The client then does a review with the scaled down document management solution in place at their site, to prove the functionality and operability.

Final Implementation

When the Pilot Phase product is approved, the B-CAD production team gets involved to begin the process of inputting all documents into the system. Under the guidance of an experienced manager, processes are established and documented using production flow charts for efficient implementation of scanning and indexing documents. The organizational team that is formed is then dedicated to the project and sees it through to completion. This assures that quality is maintained and security remains top priority throughout the production process.

Document Handling Service

B-CAD will provide the pick-up and delivery service as part of the agreement or other arrangements can be made to suit the individual client. The task of scheduling documents for scanning to be picked up and delivered, or sorting through documents to optimize the scanning process, is accomplished with little or no impact on the client's daily operations.
